When the Buyer’s Main Alternative Is Keeping the Current Workflow

A software evaluation does not always involve choosing between two vendors. The buyer may be comparing a proposed change with continuing its current process. Recognize that alternative before presenting a competitive feature checklist. The useful conversation concerns the buyer’s actual decision, including the effort and uncertainty of changing how people work.

Describe the existing process fairly

Ask the buyer what the current arrangement accomplishes and where it falls short. Distinguish a confirmed problem from the seller’s preferred interpretation. A manual step may be inconvenient while still meeting an important requirement, and a familiar process may have strengths that a polished demonstration does not show. Avoid inventing a cost of inaction or treating the buyer’s preference for continuity as proof that they misunderstand the product.

Include the work required to change

Discuss the buyer’s relevant questions about learning, configuration, migration, operating responsibilities and transition disruption at the level appropriate to the evaluation. Keep those questions tied to verified information and actual product scope. A seller’s attractive future-state diagram does not establish that the buyer has accepted the implementation effort. If a material dependency is uncertain, retain it rather than assuming another team will resolve it after purchase.

Make room for a legitimate decision to wait

Compare the proposed option and the current process against the buyer’s confirmed goals, using consistent assumptions. A useful outcome may be proceed, obtain further information or continue the current arrangement for now. Do not convert a discussion of the status quo into a pressure tactic or an invented deadline. This decision framework requires no special software feature and makes no promise about implementation speed, savings or conversion. Its purpose is a recommendation the buyer can assess on the basis of the actual tradeoffs.

Worked example

Illustrative example: a fictional team considers replacing a manual handoff but values a check performed by its current process. The evaluation includes how that check would be preserved and what transition work is involved. Continuing the current workflow remains an explicit alternative, rather than being dismissed as an objection the seller must defeat.
