Compare Software Quotes on the Same Billing Basis
Two software offers can show different totals because they charge for different things. Before calling one cheaper, identify the unit, period and included scope behind each number. A per-user figure, an account charge and a usage-based estimate are not directly comparable merely because they appear beside the same word monthly.
Define the operating scenario for the comparison
Choose the actual scenario being evaluated: who needs access, what kind of use is expected and which functions are required. Distinguish confirmed needs from optional growth assumptions. Use the same scenario for both offers instead of comparing one proposal’s minimum configuration with another’s broader package. A seller’s recommended quantity should remain an assumption until the buyer has checked that it represents the intended operation.
Keep unit, period and commitment together
Read the offer’s actual billing basis, included quantities and any conditions that materially change the comparison. Distinguish a monthly billing schedule from the length of the agreement, and keep one-time items separate from recurring ones. If a relevant term or charge is unclear, ask for clarification rather than supplying a favorable estimate. This is a comparison method, not an interpretation of a particular contract or a statement that any vendor must offer a specific arrangement.
Show the comparison without hiding the differences
Calculate a like-for-like scenario only where the information supports it, and label any remaining difference in scope. Include a second scenario when an uncertain quantity materially affects the result, retaining its assumptions. Do not convert an illustrative total into an approved quote or guaranteed future bill. The buyer should be able to see why the totals differ and which questions remain. This guide makes no claim about CloseRail’s current prices, billing units, subscriptions or included features.

Worked example
Illustrative example: a fictional team compares an account-based offer with a per-user offer. It uses the same intended users and period, while keeping an optional setup item separate. The resulting comparison explains its assumptions instead of declaring a winner from the smallest headline number or presenting the illustration as an actual vendor quote.
