Write a Software Problem Report Someone Else Can Follow
A report saying the software is broken gives the receiving team little basis for understanding what happened. A useful report describes one problem, its circumstances and the difference between the expected and observed result. Prepare that account through the normal authorized process without adding customer records or sensitive technical material merely to make the example more convincing.
Describe the occurrence before diagnosing it
Use a concise title for the observed problem and identify the relevant application or guide version where known. Explain the task being attempted and whether the issue occurred once or repeatedly. Keep a suspected explanation separate from what was actually observed. An error message can be useful when appropriate to share, but a confident theory about the cause should not replace the sequence that led to it.
Write a bounded sequence and its outcome
Mozilla’s bug-writing guidance emphasizes precise reproduction steps and separately stated expected and actual results. Apply that limited principle to the product’s existing reporting process. Use an approved fictional example if a repeat is permitted; otherwise describe the original occurrence and state that reproduction is unconfirmed. Do not perform a destructive repeat or submit another real transaction just to complete a report. Steps should explain the action and starting state without including passwords or private account content.
Review the material before handing it over
Remove unnecessary personal, customer and secret information from anything intended for support, using the organization’s actual handling rules. Keep one issue understandable rather than combining unrelated failures into a single narrative. State the remaining uncertainty and any relevant impact without inventing a fix, urgency classification or response promise. This is general report-writing guidance, not a claim that CloseRail provides a particular ticket system, diagnostic export or guaranteed repair time.
Copyable worksheet
Use one row for each field. Mark unknown information clearly and retain the original records.
| Field | Your note |
|---|---|
| One observed problem and version | ____________________ |
| Starting state and relevant steps | ____________________ |
| Expected result | ____________________ |
| Actual result and repeatability known | ____________________ |
| Approved evidence and remaining uncertainty | ____________________ |
Worked example
Illustrative example: a fictional sample workflow returns an unexpected label after a permitted action. The reporter supplies the starting state, steps and contrasting results, while leaving the cause unproven. The example uses no customer information and does not create another real transaction or imply that a support request guarantees a particular fix.
