Two Reps Planned the Same Follow-Up. Resolve Ownership First

Duplicate follow-up can begin with two well-intended notes in different places. Before either person acts, reconcile who owns the next step, what the buyer actually requested and which permission or relationship supports the interaction. This is a coordination exercise for an existing team, not authorization to launch outreach or merge customer records without review.

Compare the intended actions

Put the two proposed follow-ups side by side. Identify the recipient, purpose, promised next step and source of the plan. Similar wording does not prove the actions are interchangeable; one may concern support while the other concerns a purchase discussion. Do not expose private contact details in a public coaching channel simply to demonstrate that a duplicate exists.

Assign one accountable owner

Use the team’s existing assignment rules and the actual customer context to decide who should handle the next step. Record who communicates the decision internally and how the second planned action is retired or retained. Avoid changing account ownership, system permissions or customer preferences as a shortcut. If authority is unclear, raise the specific assignment question through the team’s normal process.

Retain the reason for the decision

Keep a short note identifying the approved next action and the superseded plan. Do not imply that an internal handoff creates new customer consent or satisfies an unverified promise. Where the buyer requested no further contact, preserve that restriction rather than treating the duplication review as a reason to restart the conversation. A useful result is one clear instruction with its actual basis.

Worked example

Illustrative example: two fictional reps prepare a check-in after the same meeting. The review finds that the buyer asked one rep to return with a specific answer. That rep remains responsible, the second plan is retired internally and the request’s limits remain attached. No extra message is sent merely to announce that the team resolved its own duplication.
