Match the Meaning of CRM Fields Before Matching Their Names
Two sales exports may both contain fields called stage, owner or close date while describing different business rules. Before comparing or planning a mapping, identify what each field means in its original system. Similar column names do not establish a safe transfer or a valid report.
Start with a field definition
For each consequential field, identify its purpose, allowed values and the event that updates it. Ask whether a date means an expected decision, an actual event or an internal review target. Keep blank, unknown and not applicable distinct where the source makes that distinction. A convenient replacement value can silently turn missing information into a false business fact. Agree who resolves a field-definition dispute before any mapping is accepted.
Test a small nonprivate example
Use an independently created sample to check how the proposed mapping handles ordinary values and exceptions. Include a reassigned owner, a missing date or an unfamiliar stage where relevant. Do not upload customer records to another service merely to make a demonstration realistic. If automation suggests a mapping, a responsible reviewer should verify the meaning rather than accepting a neat-looking table as proof.
Document what cannot be mapped directly
Some fields need a transformation, a separate reference or a decision to leave them unmapped. Identify the consequence for reporting and downstream workflows before any actual migration is authorized. Keep this planning exercise separate from granting access, changing live data or enabling integrations. It is general software-evaluation guidance and does not represent that CloseRail offers a particular connector, import behavior or automatic semantic check.
Copyable worksheet
Use one row for each field. Mark unknown information clearly and retain the original records.
| Field | Your note |
|---|---|
| Source field and business meaning | ____________________ |
| Destination meaning | ____________________ |
| Allowed values and exceptions | ____________________ |
| Nonprivate sample result | ____________________ |
| Unmapped item and decision owner | ____________________ |
Worked example
Illustrative example: a fictional export’s close date is a seller forecast, while a destination field means the actual purchase date. The team flags the mismatch instead of copying values directly. A sample mapping exposes the difference without touching live customer data or enabling an integration.
